INVITATION TO TENDER
Kenyatta High School Mwatate invites sealed bids from eligible suppliers for the supply and
delivery of one (1) 67-seater bus. Interested eligible candidates may obtain further information
from the school and inspect the tender documents during normal working hours.
Bids must be submitted in accordance with the instructions provided in this tender document and
must be received on or before the tender closing date and time stated above.
This Invitation does not constitute an offer and the Procuring Entity shall not be bound to accept
the lowest or any tender.
- Eligibility
This tender is open to all qualified suppliers with a valid business registration (Certificate of
Incorporation / Registration) and relevant experience in the supply of school / institutional buses
or similar heavy commercial vehicles. - Bidders shall submit the following (MANDATORY):
Copy of Certificate of Incorporation / Business Registration.
Valid KRA PIN & Tax Compliance Certificate.
Copy of current Business Permit / Single Business Licence.
Evidence of at least three (3) similar bus / large vehicle supplies in the last five (5) years
(attach LPOs, Contracts, Completion Certificates, or Client References).
Manufacturer’s Authorization (if bidding as dealer / distributor).
Duly filled, signed, and stamped Form of Tender.
Tender Security (2% of tender sum) valid for 120 days from the tender closing date. - Cost of Tendering
The Bidder shall bear all costs associated with the preparation and submission of its tender, and
the Procuring Entity shall not be responsible for such costs, regardless of the outcome of the
tendering process. - Clarification of Tender Documents
Bidders may request clarification in writing (email) up to 31st July 2025 at 5:00 p.m. Any
clarifications or addenda will be communicated to all bidders who obtained the documents. - Amendments to Tender Documents
At any time prior to the deadline for submission of tenders, the Procuring Entity may, for any
reason, modify the tender documents by issuing an addendum. - Tender Prices
The price quoted shall be in Kenya Shillings and shall be inclusive of all taxes, duties, levies,
insurance, and delivery to Kenyatta High School Mwatate (DDP Incoterms). Prices shall remain
fixed for the validity period of the tender unless otherwise stated. -
Tender Currencies
Prices shall be quoted in Kenya Shillings (KES). Foreign currency quotes, if any, must include
KES equivalent. - Tender Security
Bidders shall furnish, as part of their tender, a tender security of two percent (2%) of the tender
sum, in the form of a bank guarantee, insurance guarantee from PPRA-approved insurers, or
banker’s cheque. The tender security shall remain valid for 120 days from the tender closing
date.
8. Validity of Tenders
Tenders shall remain valid for ninety (90) days from the date of tender opening.
9. Number of Copies & Format
Submit ONE (1) ORIGINAL and ONE (1) COPY. Clearly mark each as ‘ORIGINAL’ or
‘COPY’.
10. Submission of Tender
Bidders shall submit their documents in plain sealed envelopes clearly marked “KHS/29/2025 –
SUPPLY AND DELIVERY OF ONE (1) 67-SEATER BUS” and addressed to the Chief
Principal, Kenyatta High School Mwatate, P.O. Box 57 – 80305, Mwatate. Deposit in the Tender
Box at the school reception.
Deadline:13th August 2025 at 10:00 a.m.. Late bids will be rejected.
11. Tender Opening
Tenders will be opened immediately after the submission deadline in the presence of bidders or
their representatives who choose to attend.
12. Evaluation & Award
Evaluation will follow three stages: Preliminary / Mandatory, Technical, and Financial. See
Section D.
