THE REFURBISHMENT OF TRO CONFERENCE FACILITY AT icipe DUDUVILLE CAMPUS, KASARANI, NAIROBI, KENYA

1.0  INTRODUCTION

The International Centre of Insect Physiology and Ecology [icipe] is an intergovernmental organisation headquartered in Nairobi, Kenya that carries out research and training in sustainable management of insects (arthropods) for improving comprehensive health and agricultural productivity in the tropics (www.icipe.org).

icipe Thomas Risley Odhiambo (TRO) conference facility is approximately 250 SM and has been in use for close to 30 years since its inauguration. The facility has over the years supported conference/seminar activities, a key activity of the Centre’s work. There are current challenges being experienced at the facility that include Air circulation, Lighting systems, Floor finishes. Control of noise spread and roof leakages.

2.0  PROJECT LOCATION

The site for the proposed works is icipe Duduville Campus, Nairobi County, Kenya.

3.0  PROJECT SCOPE

Carrying out refurbishment works that entail Building, Electrical and Mechanical works and ICT works that shall include: a) supply and installation of Structured network cabling, WIFI access points, UPS’s, PoE network switches; b) Audio­visual (AV) conferencing equipment, Display screens, interactive digital boards; and c) Fire alarm system, at the existing TRO conference hall and the adjoining meeting rooms at icipe Duduville campus Kasarani, Nairobi.

4.0  EOI REQUIREMENTS

Interested parties MUST:

1. Demonstrate ability to:
2. a)Work hand in hand with the icipe team in driving the project.
3. b)Carry out refurbishment works that include Building, Electrical and Mechanical works
4. c)Carry out new ICT services that include supply and installation of structured network cabling, Audio-visual (AV) conferencing equipment, WIFI access points, UPS’s, PoE network switches, display screens, interactive digital boards and fire alarm systems.
5. d)Check the existing facility conditions and recommend new requirements for the successful execution of ICT services works.
6. e)Check the existing facility conditions and recommend new requirements for the successful execution of refurbishment works.
7. f)Undertake or pre-finance the project.
8. Requirements:
9. a)Be registered under the Company’s Act and provide copies of the Registration Certificate. Must have been in this business for the last (10) years.
10. b)Be registered with the National Construction Authority (NCA Class 3 and above) or its equivalent, as a Building contractor and any other relevant bodies. Provide copy of registration certificate.
11. c)Have experience in refurbishment/ construction works. Experience in conference facility refurbishments will be an added advantage.
12. Provide mandatory documents:
13. a)Company registration certificate.
14. b)Company CR-12 certificate.
15. c)KRA PIN certificate or its equivalent.
16. d)Valid tax compliance certificate
17. e)Provide reference of at least five (5) projects COMPLETED within the last five (5) years. This should be in tabular format and MUST include confirmed:
18. i)Name and location of client
19. ii)Title of the project

iii)    Project cost of at least $500k

3. The Expression of Interest must be delivered to the address below or sent via courier to reach icipe on or before 11:00 hours East Africa Time on 22nd July 2025. The printed and spiral bound original documentation in hard copy with each page signed by an authorised representative and an official seal must be in a sealed envelope clearly marked Expression of Interest for the Refurbishment of TRO Conference Facility at Icipe Duduville Campus, Kasarani Nairobi, Kenya’ and submitted to the official address under seven (7), below.
4. Electronic submissions shall not be permitted. Late submissions will be rejected. The submission shall be opened in the presence of representatives of those submitting at the address below, on 22^nd July 2025 at 11:00 hours at Duduville Campus Kasarani in Mzinga meeting room.

6. a)Any information provided by the bidding party will form the basis of any contract that may be entered into between icipe and the bidder.
7. b)icipe shall not be liable for or be required to pay any costs, expenses or losses that may be incurred by the bidding party in the preparation of their EOI.
8. c)icipe reserves the right to accept or reject any proposal without assigning any reasons thereof.
