For purposes of this document, the abbreviation HIK shall refer to The Heritage Insurance Company Kenya Limited.
The Heritage Insurance Company Kenya Ltd is a general insurance company operating in Kenya offering affordable and innovative general insurance and health cover tailored for risk protection.

PLEASE READ ALL INSTRUCTIONS CAREFULLY BEFORE PREPARING AND SUBMITTING YOUR PROPOSAL.
a)The Heritage Insurance Company Kenya (HIK) intends to enter into an agreement for Provision and Implementation of a General Insurance Administration System. HIK wishes to initiate a process for shortlisting of vendors whom upon qualifying will participate in the request for proposal (RFP) phase. HIK hereby invites potential suppliers to submit their Expression of Interest (EOI) for the services.
b)All expressions shall be prepared and submitted in accordance with the requirements outlined here-in. Failure to comply with any requirement shall cause the proposal to be considered unresponsive and may be grounds for rejection.
c)By accepting to participate in this request for solicitation, you agree NOT to share the request with any other party thus enabling them to participate. HIK reserves the rights to invite prospective bidders.
d)All proposals should be submitted in PDF format through email to Heritage Procurement procurement@heritage.co.ke as per the dates provided.
e)Expression submission deadline is 4 pm, (GMT +3), 24th April 2026.
f)Submitted expressions shall bear the official company stamp on all signed sections of the proposal.
g)All requests for clarification must be sent in writing to procurement@heritage.co.ke before the 4PM, (GMT +3), 21st April 2026.
h)HIK reserves the right to accept or to reject any expression.
i)The Bidder shall bear all costs associated with the preparation and submission of its expressions and HIK will in no case be responsible or liable for those costs, regardless of the conduct or outcome of the bidding process.
j)Expressions received will be evaluated and the outcome will form the basis for invitation for request for proposal.
k)Conclusion of process – Applicants will be notified of HIK’s decision via email as soon as the process of evaluation is completed.
l)Timetable alteration – Whereas HIK will endeavour to abide by the timelines stated above, it reserves the right to alter this timetable. Any such amendments shall be communicated to bidders.
m)Proposal Integrity – Wilful misrepresentation of any fact within the bid will lead to the cancellation of the proposal submitted without prejudice to other actions that the company may take. All the submissions, including any accompanying documents, will become property of the company.
