PROVISION OF MARQUEES & COMPLETE SET UP EQUIPMENT FOR THE KING’S BIRTHDAY PARTY CELEBRATIONS ON 13TH NOVEMBER 2025 AT THE BRITISH HIGH COMMISSIONER’S RESIDENCE NAIROBI

1. On behalf of the Foreign and Commonwealth Development Office (FCDO) as represented by British High Commission – Nairobi, I am requesting a quote from you for the PROVISION OF MARQUEES AND COMPLETE SET UP EQUIPMENT FOR THE KING’S BIRTHDAY PARTY CELEBRATION ON 13th NOVEMBER 2025 AT THE BRITISH HIGH COMMISSIONER’S RESIDENCE NAIROBI. Further details on the requirement are set out in the attached Statement of Requirements
2. Please include in your reply to a nominated point of contact with telephone, e-mail and postal address details.
3. Your quote should remain valid for [30] days from the required date of receipt and should be inclusive of all costs.
4. Your quote must be received on or before 12:00 hours on 22 September 2025 (Kenyan Time). If you will have any problems meeting this deadline but wish to submit a proposal, please inform the Authority via the email address below as soon as possible.  Last minute request of an extension may be deemed as inappropriate
5. The site visit will be held on 10 September at 10.30.a.m. at the British High Commissioner’s Residence, Muthaiga, Tchui road. Kindly share the names, ID numbers and vehicle registration number of the attendees to Nairobiprocurement@fcdo.gov.uk  by 8 September 2025 at 10:00 a.m.

NB: Please provide a detailed quotation – All prices must be inclusive of applicable taxes but exclusive of VAT. The event falls under the auspices of the FCDO hence is VAT exempt.

6. The Technical bid and Commercial/financial offer should be submitted as separate documents via email to Nairobiprocurement@fcdo.gov.uk  and Nairobiquotations@fcdo.gov.uk ONLY

      Please use the contract ref NBO-RES/17/2025 in the email subject header.

7. Should you wish to provide an alternative solution that meets our requirements, you are free to do so; however, you must also submit the attached standard proposals as well.
8. Should your quote be accepted, this request, the statement of requirements and your response will form the basis of a contract between you and the FCDO under the terms and conditions.
9. This Request for quote does not imply any commitment on the part of the FCDO.
10. The FCDO will not be liable for any expenses you incur as part of this process.
